Vanly is operated by VANLY TRADE MANAGEMENT LTD, a company registered in England and Wales (Company Number: 17024675), registered office 52a Valley Road, Northallerton, North Yorkshire, DL6 1HY. “We”, “us”, and “our” mean VANLY TRADE MANAGEMENT LTD.
1. Acceptance of Terms
By downloading or using Vanly (iOS, Android, or web), you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the service.
2. Description of Service
Vanly is job management software for UK roofing and trade businesses. Features depend on your plan:
- Solo: customers, jobs, estimates, invoices (including e-signature), roof calculator, expenses, manual mileage, CIS records, warranties, job photos, scaffold planning, weather by postcode, and online invoice payments via Stripe
- Gold: everything in Solo plus crew GPS clock-in, job assignments, team messaging, leave, expense approvals, and payroll forecasting
Optional location is used only for live clock-in when a worker enables it (Gold). Mileage is entered manually.
3. Account Registration
You must provide accurate information and keep your login secure. You are responsible for activity on your account, including staff you invite.
4. Subscriptions & Payments
New accounts may receive a 14-day free trial (length can be changed in our configuration). After that, paid access is required.
Plans: Solo and Gold, billed monthly or yearly. Current prices are shown in the app or on getvanly.co.uk at the time of purchase (GBP).
4.1 Where you pay
- iPhone / iPad: subscriptions are purchased with Apple In-App Purchase. Payment is charged to your Apple ID. Apple processes the payment — not Stripe
- Android: subscriptions are purchased with Google Play Billing
- Website: subscriptions and some billing changes use Stripe. Accounts that started on the web keep Stripe billing; they are not upgraded inside the iOS or Android app
4.2 Apple auto-renewable subscriptions
If you subscribe on iOS, payment is charged to your Apple ID at confirmation. The subscription renews automatically unless you cancel at least 24 hours before the end of the current period. Your account is charged for renewal within 24 hours prior to the end of the current period. You can manage or cancel in Settings → Apple ID → Subscriptions on your device. Unused portions of a free trial, if any, are forfeited when you buy a subscription.
Current iOS products: Vanly Solo Monthly, Vanly Solo Yearly, Vanly Gold Monthly, Vanly Gold Yearly. Length and price are shown on the App Store product page and in the paywall before you buy.
4.3 Cancellation, refunds & failed payments
- You can cancel at any time. You keep access until the end of the paid period
- Cancelling stops the next renewal; it does not refund time already paid, except where Apple or Google require a refund under their rules
- App Store and Play purchases follow Apple’s and Google’s refund policies
- Website (Stripe) subscriptions can be cancelled in the app or billing portal
- If a renewal payment fails, we will retry and notify you. Access continues to the end of the current paid period
4.4 Price changes & VAT
- We may change prices with at least 30 days’ notice by email and/or in-app notice. If you do not agree, cancel before the change takes effect
- App Store and Play price changes also follow Apple’s and Google’s rules
- Prices may be subject to UK VAT at the prevailing rate. VAT will be shown where it applies
5. Your Responsibilities
- Comply with UK tax law (including VAT and CIS where they apply)
- You are the data controller for customer and employee personal data you store; Vanly is the processor
- You must have a lawful basis to store that data and handle GDPR requests from your customers and staff
- Do not use the service for illegal purposes, attempt unauthorised access, interfere with the service, or upload malicious content
6. Data and Content
You retain ownership of data you enter. You grant us a licence to store and process it solely to provide the service. See the Privacy Policy.
7. Financial Records Disclaimer
Vanly is a record-keeping tool. We are not accountants or tax advisors. You are responsible for the accuracy of your records. Keep records for 6 years where HMRC requires it. Always take professional advice.
8. Limitation of Liability
Vanly is provided “as is” without warranties of any kind, to the maximum extent permitted by law. We are not liable for lost data, lost profits, business interruption, or errors in tax calculations. Our total liability shall not exceed the greater of £100 or the subscription fees you paid us in the 12 months before the claim (excluding amounts paid to Apple or Google).
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be limited under English law.
9. Account Termination & Deletion
- You may delete your account in the app or at getvanly.co.uk/delete-account
- Deleting the account does not cancel an Apple or Google subscription — cancel that in the store first
- We may suspend or terminate accounts that violate these terms
- After deletion, your data is removed within 30 days, except records we must keep by law
10. Intellectual Property
Vanly and its software are our property. You retain ownership of your business data.
11. Changes to Terms
We may update these terms. We will notify you of material changes. Continued use after the change date constitutes acceptance.
12. Complaints & ADR
Contact support@getvanly.co.uk first. If we cannot resolve a dispute, you may use an independent ADR scheme (we will name one on request) or the courts of England and Wales.
13. Governing Law
These terms are governed by the laws of England and Wales.
